How to Choose a Bulk Fertilizer Supplier in Thailand: Buyer Checklist

Choosing a bulk fertilizer supplier is not only a price decision. The right partner must deliver the specified nutrient grade, provide verifiable quality documents, load safely, and support the import process through to your destination port. This checklist helps distributors, plantations, cooperatives, and industrial buyers compare Thai suppliers on the factors that affect real landed cost and supply reliability.

1. Start with a precise product specification

Before comparing quotations, write down the product specification you actually need. “Urea” or “NPK” is not detailed enough for a commercial purchase. Ask every supplier to quote against the same grade, packaging, quantity, and delivery term so that you are comparing equivalent offers.

For products such as prilled urea and granular urea, physical form can affect handling, spreading, storage, and the customer segment you serve. A low quote for the wrong form is not a low-cost offer.

2. Verify that quality claims are measurable

A credible bulk fertilizer supplier should be able to explain how quality is controlled from incoming raw materials through final loading. Do not rely only on a brochure or a generic product data sheet. Ask for a recent sample Certificate of Analysis (COA) and confirm that it reports the parameters relevant to your purchase.

For a first order, buyers can also request independent pre-shipment inspection by SGS, Intertek, or another agreed inspection company. The inspection scope should be written into the purchase contract and should cover identity, quantity, packaging, container condition, and the agreed product parameters.

3. Check the supplier’s export documentation process

Strong product quality cannot compensate for documents that hold cargo at the destination port. Ask the supplier to provide a shipment document checklist before the contract is signed. The exact requirements depend on the destination country, product, and payment method, but a standard export file commonly includes:

  • Commercial invoice with the correct product description, HS code, quantity, value, and Incoterm.
  • Packing list showing the number of bags, net and gross weights, and container references.
  • Bill of lading or sea waybill with consignee and notify-party details confirmed by the buyer.
  • Certificate of Analysis linked to the shipped lot or batch.
  • Certificate of Origin, including any destination-specific preferential form when applicable.
  • Phytosanitary, fumigation, inspection, or other agricultural documents when required by the importing authority.
  • Insurance certificate for shipments sold under a term that requires seller-arranged cargo insurance.

Ask who prepares each document, when drafts are sent for approval, and how discrepancies are corrected. This is especially important for an LC-funded fertilizer purchase, where a small difference between the invoice, packing list, COA, and bill of lading can create a payment discrepancy.

4. Compare the full landed cost, not only the fertilizer price

The cheapest FOB or ex-works price is not always the cheapest delivered supply. Build a landed-cost comparison that uses the same currency, quantity, destination, and validity period for every supplier.

  1. Product price per metric tonne.
  2. Packaging, palletizing, labelling, and any private-label charges.
  3. Inland transport from the plant to the loading port.
  4. Port handling, documentation, customs clearance, and inspection charges.
  5. Ocean freight, war-risk or seasonal surcharges, and destination charges.
  6. Cargo insurance where applicable.
  7. Bank charges, financing cost, duties, taxes, and demurrage exposure.

Make sure quotations use the same Incoterm. FOB, CFR, and CIF transfer different costs and risks between seller and buyer. For larger programmes, also compare the cost of a containerized shipment with a vessel or breakbulk option; the right choice depends on monthly volume, destination infrastructure, and how quickly inventory must be replenished.

5. Evaluate consistency and supply capacity

A supplier that can ship one trial container may not be able to support a distributor’s recurring programme. Ask how the supplier manages production planning, raw material sourcing, packing capacity, and peak-season demand.

Questions worth asking before placing a repeat order

Reviewing the supplier’s supply and quality process can reveal more than a headline price. A documented workflow, lot-level testing, and clear communication before loading reduce the risk of expensive surprises.

6. Confirm communication and commercial terms

International fertilizer procurement often involves several parties: the buyer, supplier, freight forwarder, inspection company, bank, customs broker, and destination authority. Choose a supplier that assigns a clear commercial contact and responds with complete answers rather than sending a price with missing assumptions.

The purchase contract should clearly state product specification, quantity tolerance, packaging, inspection rights, delivery term, shipment window, payment terms, document requirements, claims procedure, and force majeure wording. If the supplier will not put an important promise into the quotation or contract, treat it as unconfirmed.
